2. What data do we collect?
When you send an enquiry through our contact form, we receive the name, email address, phone number and message you enter. When you contact us by email, we also receive the contents of your email and any files you send. Project descriptions and design materials may contain additional personal data; please send only information needed for the work.
Technical information, such as your IP address, request time, visited URL and browser information, may be recorded in server logs to support the operation and security of the website. The actual information recorded and its retention period depend on the hosting configuration and must be confirmed before this policy is put into use.
3. Why do we use your data, and on what basis?
Enquiries and quotations. We use your contact details and project description to respond and prepare a quotation. If you request a quotation on your own behalf, the legal basis is taking steps at your request before entering into a contract (GDPR Article 6(1)(b)). When communicating with a company representative, the basis may be our legitimate interest in managing business communications (Article 6(1)(f)).
Fulfilling an order. When you place an order, we use the information needed to prepare the work, carry out installation and communicate with you. The legal basis is performing a contract or our legitimate interest in communicating with a company representative. Compliance with legal obligations is based on GDPR Article 6(1)(c).
Website security. Technical information is used on the basis of our legitimate interest in maintaining website reliability and preventing misuse (Article 6(1)(f)). Submitting the contact form does not constitute consent to receive marketing emails.
4. How long do we retain your data?
We retain enquiry information for as long as needed to handle the enquiry. Order information is retained to perform the contract and, where necessary, deal with legal claims. Documents subject to a statutory retention requirement are kept until that requirement ends. When there is no longer a basis for retaining data, it is deleted or anonymised.
To be confirmed before publication: specific retention periods for enquiries that do not result in an order and for technical logs, the backup deletion procedure and the retention practices for contractual documents.
5. Who may have access to your data?
Your data is used by the people handling your enquiry or order. Hosting, email, website maintenance and accounting providers may process information to the extent needed for their services. Appropriate data protection terms must apply to these services. Information may also be disclosed where required by law.
To be confirmed before publication: the actual service providers and whether any of them process data outside the European Economic Area. Where this occurs, the basis for the transfer and the safeguards must be described.
6. Cookies
The website uses cookies. Read about their purposes, retention periods and your choices on the Use of Cookies page. You can change your choices through Cookie preferences.
7. Your rights
Depending on the basis for processing, you have the right to access your data, correct inaccurate information and request deletion or restriction of processing. Where applicable, you may request data portability, object to processing based on legitimate interests and withdraw consent. Withdrawal does not affect the lawfulness of earlier processing.
To exercise your rights, email info@kiletamine.eu. We may need to verify your identity. We normally respond within one month. You also have the right to lodge a complaint with the Estonian Data Protection Inspectorate.
